A4Tool collects two types of information: Personal Data (such as names, contact details, PAN/Aadhaar numbers, and biometric logs required for payroll and HR operations) and Usage Data (such as IP addresses and platform interaction metrics) necessary to optimize system performance.

Your data is strictly utilized to deliver HRMS services, including processing payroll, managing leave and attendance, generating statutory compliance reports (EPF/ESIC/TDS), and providing customer support. We do not sell your personal data to third parties.

We implement military-grade encryption for data at rest and in transit. As an ISO 27001 and SOC2 Type II compliant platform, your information is stored in secure, geographically redundant data centers within India to comply with local data sovereignty requirements.

We may share necessary data with trusted third-party service providers (such as banking partners for payroll disbursement or government portals for statutory filings) strictly under confidentiality agreements and solely for the purpose of fulfilling our service obligations to you.

Depending on your jurisdiction, you have the right to access, correct, port, or request the deletion of your personal data. Platform administrators can manage employee data access levels through our robust Role-Based Access Control (RBAC) system.

A4Tool reserves the right to update this Privacy Policy to reflect changes in legal requirements or our operational practices. We will notify platform administrators of any material changes via email or an in-platform alert prior to the changes taking effect.
